The Simplest Framework: State, Goal, Constraint
If your team only remembers one framework, make it this one: state the context, say what you want, and set the limits.
For example: "I work for Allegiance Insurance, which specializes in automobile insurance. Write a persuasive email to a customer named Eli about our bundled rate (15% off for insuring 3 cars). Keep it to five sentences."
That single prompt sets context (who you are), a goal (persuade Eli), and a constraint (five sentences).
System Prompts vs. Regular Chat Messages
A regular chat message is a one-off instruction. It applies to that single exchange, gets weighed alongside everything else in the conversation, and can drift or get diluted as the conversation goes on. It is great for one-time tasks: draft this email, summarize this document, brainstorm five options.
A system prompt works differently. It is set once, before the conversation starts, and acts as a standing instruction that shapes every response that follows. If you find yourself rewriting a common instruction in regular chat messages, it should be written in the system prompt. This can be written and saved in the settings of the LLM you are using (ChatGPT, Copilot, Claude, and others).

- Drafting emails, proposals, reports, and first-pass marketing copy.
